A social media management service should define who prepares posts, who approves them and what happens after publication. The scope matters more than the number of posts. For example, a provider may prepare a response to a product question, but the business should decide whether the answer is accurate and appropriate.

The job a good service should do

Social media work connects channel decisions with publishing and response handling. “We manage your social” is not a complete scope. The scope should identify the response work and account permissions included, along with any production or escalation work outside it.

Some or all of these jobs can be outsourced, provided the boundaries are written down. The proposal should state the included response work, production work, paid activity, account permissions and escalation route.

What the first month should establish

The first month should leave the account easier to operate. Review the existing account and document its audience and channel role in a short content plan. A regulated claim or customer complaint should have a named approver before it reaches the queue.

Use platform permissions where available. Keep ownership with the business and remove supplier access when the work ends. On Meta and LinkedIn, separate organic publishing from advertising permissions where the account structure allows it. Keep a record of who approved a post and when.

Content that has a reason to exist

Each post needs a job. It might answer a common question or explain how a service works. It can also introduce a person or invite an enquiry. A content plan should name the audience and the next action. It does not need to turn every post into a sales pitch.

Use source material close to the business so subject experts have a clear basis for checking drafts and unsupported claims are easier to identify.

Agree permission for identifiable people, locations and music before production. Keep captions and alternative text where the platform supports them. Check the current format requirements in platform help.

Publishing and community management

Scheduling is useful, but a scheduled post still needs a live check. A news event, service outage or public criticism can make a planned message inappropriate. Set a named person to pause the queue when needed.

Replies need a response guide. It should set the public response boundary and the route for private conversations. It should also identify when a director or specialist needs to take over. Never ask a customer to post personal information in a public comment. If a message contains account, payment or health information, move it to the business's documented private support process and record the issue there.

WhatsApp Business Platform can support structured customer conversations, but it is not a replacement for a support process. Define how consent is recorded and when a person takes over. Record the point at which the conversation becomes a sales or service record.

Reporting without vanity numbers

A report should connect published activity and response data to the next decision. Reach and impressions can describe distribution, but they do not prove that a post produced a commercial result. If the goal is lead generation, define what counts as a qualified enquiry before reporting it. Without a dated report example or anonymised before-and-after measurement, this section provides general guidance rather than evidence.

Do not compare every channel as if it behaved the same way. A LinkedIn post aimed at a small professional audience and a broad Instagram video have different jobs. Meta and LinkedIn also provide different ad formats and reporting views. Keep the comparison tied to the campaign objective and the audience.

UK checks that belong in the process

The relevant ICO direct marketing and PECR guidance should sit beside the documented lawful basis, consent requirement and opt-out process for the workflow being assessed. Keep claims accurate and retain evidence for permissions, competitions and endorsements. Ask the business's legal or compliance adviser about any sector-specific rules.

Limitation

No social media service can guarantee reach, enquiries or a particular platform response. Platform interfaces, formats and distribution rules change. Organic performance is affected by the audience, subject, timing and the account's history.
