AI receptionist for UK small businesses
An AI receptionist answers your business phone line with a voice agent. It books appointments into your calendar, answers routine questions from your own information and passes everything else to a person. Aristral builds and tests AI receptionists for UK small businesses on the number you already have. Contact us to scope one.
What an AI receptionist handles well
AI receptionists are good at predictable, high-volume call types. Booking, moving and cancelling appointments. Answering the same handful of questions about services, opening hours, parking or what to bring. Taking a message with the details a person needs to call back. Capturing a new enquiry and getting it into the CRM while the caller is still on the line. They are most useful where calls arrive while you are busy: a tradesperson on a job, a clinic between appointments, a restaurant at the dinner rush, or any business after hours.
Where it struggles, and how we design around it
Voice agents are weaker with distressed or angry callers, long multi-part requests, poor phone lines and anything that needs judgement or discretion. We do not pretend otherwise. Each build has explicit hand-off rules: certain words, topics or caller requests send the call straight to a person, and the agent never guesses at prices or policies it has not been given. Before launch we run test calls against a script of awkward cases, not just the easy ones, and we keep reviewing real transcripts after go-live so gaps get fixed rather than repeated.
AI receptionist, AI voice agent or answering service?
The terms overlap in marketing. An AI receptionist answers inbound calls for your business. An AI voice agent is the wider category, which also covers outbound calls such as reminders and follow-ups. A telephone answering service is usually a human team, sometimes with AI help, answering in your name. Some businesses use a mix: the AI receptionist takes routine calls and out-of-hours calls, and people take the rest. Our guide to AI receptionist costs and limits compares the three models with published UK prices.
Buy off the shelf or build a custom AI receptionist
If your calls are mostly generic bookings and a few FAQs, an off-the-shelf product may be enough, and we will tell you so. A custom build earns its place when the receptionist has to work inside your own systems: a CRM it must update properly, a booking platform without a ready-made connector, routing between several sites or staff, a regulated intake process, or data you want processed in a particular place. That is the work we take on, usually as part of wider AI automation across the enquiry journey.
How we build and test an AI receptionist
We start with your real calls: what people ring about, how often, and which calls you lose today. From that we write the call script and the approved knowledge base with you, connect the calendar, CRM and telephony, and agree the hand-off rules. Testing uses a set of scripted calls covering the common requests and the awkward ones. Most clients start the agent on overflow or out-of-hours calls, check the transcripts, then decide whether to widen it. You own the script, the knowledge base and the configuration.
UK compliance: disclosure, recording and outbound calls
A voice agent processes personal data on every call, so UK GDPR applies: callers should be told how their information is used, recordings need a lawful basis and a retention period, and higher-risk set-ups may need a DPIA. We scope that with you using ICO guidance on AI. Outbound calling has extra rules: under PECR, automated marketing calls need the person's specific prior consent (ICO telephone marketing guide). We treat AI-voiced outbound marketing calls the same way.
Businesses where an AI receptionist fits
The pattern is a business that misses calls it could have handled. Trades and home services that cannot answer on a job. Clinics, salons and studios that run on appointments. Restaurants juggling bookings and takeaway orders during service, which is why our restaurant AI system includes an inbound voice agent. Law firms where a missed call can mean a missed case, the problem CaseFlow is built for. Property businesses following up leads, where outbound voice calling is part of our property lead system. If your calls are mostly complex or sensitive conversations, a person is still the better first answer.
Voice agents in our own product range
CaseFlow, AI legal intake
An AI voice agent that answers personal injury intake calls, fills in the intake forms and follows up with clients by portal and WhatsApp. We are building it with our partner Shah & Shah Lawyers.
Health Flow, AI healthcare intake
CaseFlow's healthcare sibling: patient calls answered and verified, referrals extracted from e-fax and email, and low-confidence extractions sent to a human queue. The agent gives no clinical advice.
Restaurant AI, inbound voice agent
An inbound voice agent for restaurants that works from the menu, allergy information, opening hours and reservation policies, and reads every phone order back to the caller before it reaches the kitchen.

Guidance we build to
Voice agents handle personal data on every call. These are the public rules and standards we design against:
Frequently asked questions
- How much does an AI receptionist cost in the UK?
- It depends on call volume, the systems it has to connect to and whether an off-the-shelf product already covers your calls. Published UK vendor prices are compared in our AI receptionist cost guide. For a custom build, contact us and we will scope it after a short call.
- Will callers know they are talking to an AI?
- They should. Our builds say so in the greeting and tell callers how to reach a person at any point. Where calls are recorded, the greeting says that too.
- Can it use my existing phone number?
- Yes. Usually we connect through call forwarding from your current provider or a SIP connection, so callers keep dialling the number they know. You choose whether it takes every call, only the ones you miss, or only out-of-hours calls.
- What happens when the AI receptionist cannot help?
- It transfers the call to a person live, or takes the details and flags a callback with a summary of what the caller wanted. We set the triggers together: a complaint, a distressed caller, a request it has not been trained on, or simply a caller who asks for a human.
- Can an AI receptionist take payments?
- We do not set voice agents up to take card numbers over the phone. Card handling brings PCI DSS obligations, so the agent sends a secure payment link by text or email instead.
- Does it work with my booking system?
- If your calendar or booking platform has an API, usually yes. Google Calendar and Microsoft 365 calendars are straightforward; specialist booking platforms vary, so we check the integration before quoting rather than after.
- What is the difference between an AI receptionist and an AI voice agent?
- An AI receptionist is one kind of AI voice agent: it answers inbound calls. Voice agents can also make outbound calls, such as appointment reminders or follow-ups. Outbound marketing calls are tightly regulated in the UK, so we only build them where the people being called have specifically agreed to that kind of call.
